Common setup questions

Short answers to what gets asked most. Detailed guides for the sections above live in the portal and with support; there are no separate articles on the site yet, and we are not going to pretend otherwise.

What do we need to request from the carrier to connect a trunk?

The SIP server address, a SIP registration login and password or your IP for address-based authorisation, the list of inbound numbers and the permitted outbound destinations. What to ask them for: “please provide SIP trunk parameters for connecting a third-party PBX”. With that set in hand, connecting takes about 15 minutes.

What is the difference between an IP trunk and a login-based one?

With IP authorisation the carrier accepts calls from one specific address — no registration needed, but the address must be static. With login authorisation the PBX registers on the carrier’s server itself and the external address does not matter. The second is simpler to set up, the first is slightly more robust. sipbox supports both.

How do we build a voice menu?

In the call flow builder: add a “menu” step, upload or synthesise the greeting, assign actions to digits — a team, a specific person, another menu, an answering message. What happens when nobody presses anything is set separately. Draft and live versions are separate: edits do not touch real calls until you apply them.

Do we need a studio recording for the greeting?

No. A greeting can simply be typed — speech synthesis is built in and produces the file straight away. A voice recording can be uploaded too: mono, 8 or 16 kHz, WAV or MP3. Synthesis is enough for most menus, and editing text is faster than re-recording.

How long are recordings kept?

The retention period depends on the plan and is set in the organisation settings. Recordings can also be exported to your own S3 storage — then the retention period is yours to decide, not ours. It is a standard setting, not a separate service.

Why can’t an employee call from the browser?

Three usual causes. The browser was not granted microphone access — the permission lives in the address bar. The wrong device is selected — the portal has a sound check. Or the employee has no SIP password set on their card. If all three check out and it still fails, write to us and we will look at the call logs.

How do we make sure night-time calls are not lost?

With business hours in the call flow: during working hours the call goes to the team, outside them to an answering message offering to leave a message or request a callback. Missed calls land in their own view either way, and the owner gets an email regardless of the hour.

What happens if the carrier goes down?

You can configure a backup trunk: if the primary one stops responding, calls go out through a second carrier. That is one of the advantages of the bring-your-own-trunk model — with a carrier’s own PBX, redundancy across carriers is impossible by definition.

How do we get invoices and closing documents?

Invoices and statements are generated in the billing section of the portal and sent to the email set on the organisation. Legal details are entered there too. If you need documents in a specific format, write to us and we will discuss it.
