Telephony for real estate agencies

In real estate an enquiry is expensive and people call once. sipbox makes sure the call reaches an available agent and that an unanswered one lands in a list marked whether anybody called back. Conversations are recorded and the history stays with the agency, not on an agent’s personal phone.

How that plays out in an agency

An expensive enquiry goes nowhere

A call from a paid listing never reached an agent. That person will not call twice — they will dial the next listing down the page.

The client base lives in personal phones

Agents work from their own handsets. When one leaves, the contact and the whole negotiation history leave with them.

Nobody knows which advertising works

Every listing shows the same number, so there is no way to tell where an enquiry came from.

How sipbox handles it

The priorities are simple: do not lose the enquiry, and keep its history inside the agency.

The call reaches whoever is free

Enquiries ring through a group of agents with a configurable order: no answer from one and the call moves on. The caller does not listen to ringing into the void.

Unanswered calls under separate watch

Failed attempts collect in a list with a “called back / not yet” status and are emailed to the owner. Management can see which paid enquiries went unanswered.

Separate numbers for separate portals

If you hold several numbers with the carrier, each can go on a different listing site, so the inbound number tells you which advert worked. Routing per number is configured separately.

History stays with the agency

Conversations are recorded and held on the company side. A property can be handed to another agent together with the full negotiation history.

Questions about telephony for real estate

Can we tell which listing a call came from?

Yes, if you hold separate numbers with the carrier for each portal: the dialled number identifies the source, and each gets its own routing. Full call tracking with dynamic number swapping on the website is not something we do — dedicated services cover that, and we will not pretend the box is ticked.

Our agents are out viewing properties — how do they take calls?

Through a softphone on their smartphone: the same SIP credentials, the same agency number, the same recording. The caller sees the company number rather than a personal mobile.

What happens to contacts if an agent leaves?

Call history and recordings belong to the organisation: their access is revoked, the data stays. Which is exactly why moving conversations off personal handsets is worth doing before somebody decides to leave, not after.

How do we distribute calls fairly between agents?

Through the ring order in the group: round robin, everyone at once, or by priority. It is set in the call flow and changed without involving us — for instance, taking people out of the group while they are away.

Do we need new phone numbers?

Not if you already have a carrier: sipbox connects to their trunk and the numbers in your listings stay as they are. Extra numbers only make sense for separating advertising sources.
